Fleetrans Solutions Inc. (“Fleetrans”, “we”, “us”, or “our”) provides workshop and fleet maintenance software at fleetrans.com and on shop subdomains such as yourshop.fleetrans.com (the “Service”). This Privacy Policy explains how we collect, use, store, and share information when you visit our website, create a shop, or use the Service, including optional connections to third-party products such as QuickBooks Online.
1. Who this policy covers
This policy applies to:
- Visitors to fleetrans.com and related public pages.
- Business customers who subscribe to a Fleetrans shop (the “Customer”).
- Authorized users invited by a Customer (employees, mechanics, office staff, and similar).
Each Customer’s shop data is stored separately. Fleetrans processes that data to provide the Service to that Customer.
2. Information we collect
Depending on how the Service is used, we may collect:
- Account and contact details — name, email, phone number, company name, billing address, and login credentials.
- Shop and operational data — work orders, units, parts, invoices, customers, vendors, employees, documents you upload, and related records.
- Integration data — if you connect a third-party service (for example QuickBooks Online), we receive the tokens and accounting identifiers needed to sync data you choose to send, such as customers, items, and invoices.
- Technical data — IP address, browser type, device information, timestamps, and application logs used for security and support.
- Website data — information you submit through contact or signup forms, and cookies needed to keep you signed in or remember a session.
We do not require the Service for children. We do not knowingly collect personal information from anyone under 16.
3. How we use information
We use information to:
- Provide, host, maintain, and support the Service.
- Create and administer shop accounts, users, and permissions.
- Process invoices, work orders, and other records you enter.
- Connect optional integrations you enable, including QuickBooks Online accounting sync.
- Communicate about the Service, including security notices and support.
- Protect the Service against abuse, fraud, and unauthorized access.
- Comply with law and enforce our agreements.
We do not sell personal information.
4. QuickBooks and other integrations
If a Customer connects QuickBooks Online, Fleetrans uses Intuit’s OAuth process. We store access credentials for that shop so invoices and related records can be created or updated in the connected QuickBooks company. We only request accounting scopes needed for that sync. You can disconnect QuickBooks from the shop’s QuickBooks settings. Disconnecting stops new syncs; data already written to QuickBooks remains in that QuickBooks company under Intuit’s terms.
Third-party platforms (including Intuit/QuickBooks) process information under their own privacy policies. Fleetrans is not responsible for those services.
5. Sharing
We may share information with:
- Service providers who host, email, or otherwise help us operate the Service, under obligations to protect the data.
- The Customer’s authorized users, according to roles the Customer configures.
- Integration partners the Customer has connected, to perform the requested sync.
- Professional advisors, or authorities, when required by law or to protect rights and safety.
- A successor if we transfer the business, subject to this policy or equivalent protection.
6. Storage, security, and retention
We use administrative, technical, and organizational measures appropriate to the nature of the Service, including access controls, encrypted connections (HTTPS), and isolated shop databases. No method of transmission or storage is completely secure.
We keep shop data for as long as the Customer account is active and as needed for backups, legal, and accounting purposes after closure, unless a longer period is required by law or a written agreement.
7. Cookies
We use essential cookies and similar technologies to operate login sessions and protect forms. The public website may also use cookies strictly needed for those functions. You can control cookies in your browser; disabling them may prevent sign-in.
8. Your choices and Canadian privacy rights
Fleetrans is based in Ontario, Canada. Depending on applicable law (including PIPEDA), you may request access to, or correction of, personal information we hold about you. Customers manage their own users and shop records inside the Service. To make a privacy request, email info@fleetrans.com. We may need to verify your identity and, where you are a user of a Customer shop, we may refer the request to that Customer.
9. Changes
We may update this Privacy Policy. The effective date at the top of this page will change when we do. Continued use of the Service after an update means you accept the revised policy.
